Job Description & Person Specification Business Manager (Part-time) Hay Band B, Point 34-39 £29854 - £34196 (pro rata) Location: Ernehale Junior School, Derwent Crescent, Arnold, Nottingham. NG5 6TA Contract: Permanent Terms: 30 hours over 4 days, term time only plus 6 additional days Responsible to:

Main purpose of the role   

The School Business Manager is the school’s leading support staff professional and works as an integral part of the Senior Leadership Team, playing a significant role in the strategic development of the School The School Business Manager is responsible for providing professional leadership and management of the school support staff The School Business Manager promotes the highest standards of business ethos within the administrative function of the school and strategically ensures the most effective use of resources in support of the schools learning objectives

The School Business Manager has core accountability for;      

Leadership and Strategy Financial management and control including strategic budget setting and forecasting HR management including Payroll Administrative management for the school, including catering and school office network management Premises management Health and safety

Leadership & Strategy To be an integral member of the school’s Leadership Team and play a significant role in the strategic development of the school including;    

Attending Senior Management/Leadership Team, full Governing Body and appropriate Governors’ sub-committee meetings Negotiating and influencing strategic decision making within the school’s Senior Management/Leadership Team Planning and managing change in accordance with the school development/strategic plan Leading, managing and developing school support staff

Financial Management and Control To ensure the effective operation of the school’s finance function, ensuring compliance with legal and financial regulations and Flying High Trust’s Finance Policy and Procedures to include;         

Responsibility for the day-to-day financial administration of the school Developing a medium term strategic financial plan that will indicate the trends and requirements of the school development plan and will forecast future year budgets Preparation of the annual school budget Actively monitoring, reporting and controlling school budgetary performance against approved budget Ensuring financial controls are in place and advise the Head Teacher and Governors if fraudulent activities are suspected or uncovered Ensuring the school achieves value for money Ensuring the school is insured against appropriate risks highlighted in the risk register Assisting with an efficient year-end process to produce timely and accurate annual accounts Assisting with any audits

Human Resource Management    

 

Manage recruitment, performance management, appraisal and development for support staff Ensure staff have a clear understanding of the policies and procedures and the importance of putting them into practice Evaluate the school’s strategic objectives and identify the types of skills, knowledge, understanding and experience required to undertake existing and future planned activities Manage the payroll services for all school staff including the management of pension schemes and statutory deductions ensuring all staff are paid in accordance with their agreed pay and conditions Provide guidance on conditions of service, policy and procedure on HR matters, such as recruitment, appraisal, and development for all staff Responsibility for the maintenance of the Single Central Record and the Personnel database

Administration Management Responsibility for the effective management of the day to day administration of the school office to include;   

Designing, maintaining, reviewing and improving administrative systems and processes that deliver outcomes based on the school’s aims and goals Defining responsibilities, and authorities for staff and other stakeholders Preparing information for publications and returns for the DfES, LEA and other agencies and stakeholders within statutory guidelines

Facility & Property Management To be responsible for the Site Manager and the effective organisation of premises team, to include;        

Ensuring the school site is a safe and secure environment for learning Managing the maintenance of the school site including the purchase and repair of all furniture and fittings Ensuring the continuous availability of utilities, site services and equipment Following sound practices in estate management and grounds maintenance Monitoring, assessing and reviewing contractual obligations for outsourced school services Ensuring ancillary services are monitored and managed effectively Managing the letting of school premises to external organisations, for the development of the extended services and local community requirements Overseeing capital projects and ensuring all activity on the school site is in line with the relevant planning permissions

Health & Safety To act as the school’s Health & Safety Co-ordinator and Fire Officer, including:   

 

Ensuring the health & safety policy is clearly communicated, implemented at all times, and is subject to regular review and assessment Offering advice and support on health and safety issues Ensuring systems are in place for effective identification, monitoring, and reporting of health and safety issues to the Senior Team, Governors and where appropriate the Health & Safety Executive Ensuring statutory obligations are being met for pupils with special educational needs, ensuring that financial and supporting agency services are adequate for their diverse needs Planning, instigating and maintaining records of fire practices and alarm tests
