ABSTRACT This paper presents detailed information on the Mess Management System. The main aim of the mess is to provide clean and fresh food to the students/employees of the organization. In Today’s world the entire Mess Management and costing calculations are done manually till date. It is very time consuming & increases the chances of performing calculation mistakes. Thus, there arises a need to create software that will make the entire Mess Management an automated system. This software will be useful to any schoo l/college hostel or in general to any institute maintaining a mess.

INTRODUCTION

Each hostel, school or office have a mess hall for providing food to its members. The main aim behind this project is to get the current status of mess & meals per day, to manage details regarding the stocks of vegetables, groceries and purchasing based on daily fluctuating rates . The software also provides the costing and monthly calculations of each item used. The software has five stores in which the entire stock is maintained. Each store contains a particular set of items like items which are required daily, miscellaneous items, vegetables, grains etc. In the software we are maintaining the entire detail of the cadets. It also includes options such as adding the cadet information, deleting the cadet information. The delete option also asks for specification, whether to delete the entire batch or to delete a particular cadet information. We are also providing the link through which current market rates can be known. The software also includes a standard diet chart. Besides information about the cadets, information of the staff working in the mess is also maintained The software also includes an option for backup and restore. In this option backup of the entire software information can be stored in the database, if in case the data gets lost we can retrieve the lost data from the database. There is also a help option in which we are providing the guidelines of how to use the software.This project can be merged with any major projects where meals and their monthly calculations need to be done. Also it has a facility to maintain a database of all the students. The main feature of this project is at the end of each month a hardcopy or receipt of the total expenditure will be generated. This software can be used in general in any institution, hotels, canteen, etc which is maintaining a mess. Another feature is that as soon as a batch of students passes out their database can be stored in any external storage device.

RELATED WORK

A system is a whole that cannot be decomposed into independent parts. It follows a research approach. Research Approach begins by analyzing so as to identify its parts and interconnections. This approach follows the technical aspects of the socio-technical systems. This approach involves a concept of planning as a structured process and has five phases: formulating the mess, ends planning, means planning , resource planning and design of implementation and control. Research is heavily used in inventing, elaborating and implementing new ideas.

This project is carried out to assess student’s skills and knowledge in systems engineering . This project has 7 modules. There are staff maintenance, stock maintenance, cadet information maintenance and report generation. The project is developed using agile methodology. During system development, a combination of PHP and HTML is used for developing the GUI & implementing the functionality while MySQL is used for creating and manipulating the database. This project has undergone several phases. There are planning analysis, design, development and testing. First, in the planning of this project, plan is written. Next, during analysis stage, system requirements specification and activity diagram modeling the current system are produced. In design stage, various UML diagrams such as use case diagram, sequence diagram, class diagram and etc are drawn. A computer based management system is designed to handle all the primary information required to calculate monthly statements. Separate database is maintained to handle all the details required for the co rrect statement calculation and generation. This project intends to introduce more user friendliness in the various activities such as record updation, maintenance, and searching. Similarly, record maintenance and updation can also be accomplished by using the identification of the customer with all the details being automatically generated. These details are also being promptly automatically updated in the master file thus keeping the record absolutely up-to-date .The entire information has maintained in the database or Files and whoever wants to retrieve can’t retrieve, only authorization user can retrieve the necessary information which can be easily be accessible from the file . For designing the system we have used simple data flow diagrams. Overall the project teaches us the essential skills like: Using system analysis and design techniques like data flow diagram in designing the system, Understanding the databas e handling and query processing, etc.

PROPOSED WORK

Our software will work as follows: Step 1: The user (mess manager) will first login by entering the correct username and password. If the user has entered the correct password he can proceed successfully. A facility to change the password will also be provided. The user will need to enter the correct old password in order to set a new password. Step 2: After successfully logging in, the options page will be displayed. The options page has the following options: Cadet-info, Stores, Market rate, Diet-chart, Help. Step 3: The Cadet-info option is further divided into following sub-options: Add-cadet, Delete-cadet, generate cadet Bill , view cadet info, view cadet bills, Backup and Restore. In the add-cadet option we can add the information of the cadets. In the delete-cadet option we can either delete the information of a single cadet or we can delete the information of the entire batch. The bill option provides a calculated bill for a particular cadet or the entire batch. Backup and restore option are for backing up the data of the cadets or res toring them back to the software in case of any failure. Step 4: The stores option is further divided into Store-A, Store-B, Store-C, Store-D, Store-E, Store-F. Store A is for maintaining all the items which are purchased piece-wise(example-eggs are purchased based on number of pieces instead of kg). Store B is for maintaining all vegetables purchased in the mess. Store C is for maintaining all items purchased in the mess on the basis of quintal/kg. Store D is for maintaining all items that are purchased in litres or mL. Store E is for maintaining all other expenses in the mess. Store F is for maintaining all expenses incurred for PTC’s officer’s breakfast/lunch/dinner on a monthly basis. Step 5: The Diet Chart option contains a few sample diet charts which mess officers can refer & plan their meals accordingly. Step 6: The view market rates option contains a link to the official site of kalamna market, Nagpur. In this site, the user can view daily rates of any food item & plan his purchases accordingly. Act ual market rates may not be the same as shown in the website but may be a rough approximation for the same. Step 7: The help option contains complete help regarding the software explaining right from what is mess software, need to make this software, as well as complete instructions to operate every option of the software. Snapshots in every section of the help option will also be provided for better understanding.

As per the above diagram the entire information is being maintained in the database. The database contains information of all the cadets, items, stocks, backup and help. The user name and password which the user will require to login is also stored in the database. In case of change password the new password will also get stored in the database. Stock includes six stores - store A, store B, store C, store D, store E, store F. Store A contains all the items that are bought in pieces, for example chikki. Store B contains all the vegetable stock, Store C contains information of all the kilogram items for example rice etc, Store D contains information of all the stocks which are measured and bought in liters, Store E maintains all the staff related information i.e. how many people are working, for how many days they are absent, how much salary is given to them etc. Store F contains information about all the miscellaneous items and their expenses. All the six stores are provided with the options of add, delete, bill, view store, limit, backup and restore. The help option which will give the guidelines of how to use the software has the information stored in the database. The detailed working of the software has been shown in the diagram below:

ADVANTAGES

The complete control of the project is under the hands of an authorized person who only has the password to access this system and illegal access is not supposed to deal with it. Instant information at user’s fingertips for immediate use is available. During several decades in the past, the records were manually handled for all activities. These manual handling are highly prone to errors as well as time consuming . This software will remove these disadvantages. The most important benefit of implementing such a system is that it brings in the transparency in the entire mess management.

APPLICATIONS

This software will be useful to any school/college hostel or in general to any institute maintaining a mess. This software will also enable Stock purchasing based on daily fluctuating rates. It will help to lessen the work-load of mess managers, reduce manpower, thus reducing the capital being invested.

CONCLUSION

This software will be useful to any school/college hostel or in general to any institute maintaining a mess or canteen. Also, this software will reduce manpower, thus reducing the capital being invested. Thus, a software with added benefits than the existing ones is created. However, other aspects will be worked upon for better performance and efficiency.
