Employer Reference Guide WageView is a secure website in which your employees can access, view, and print their Pay Statements, W-2s, and 1099s. This document walks you through the steps to:  Enroll new employees for WageView  Enroll existing employees for WageView New Employee Enrollment (to enroll an existing employee see page 2) 1. From the Personnel menu click Add New Employee or Add New Contractor. 2. Enter all required information for the new employee/contractor, ensuring you enter an email address. NOTE: If both a personal and work email are set up, the WageView enrollment email will be sent to the personal email address. 3. Click Save •

If you did not enter an email address you will receive the below pop up window.

If you do not have an email address for the employee at this time, select No and follow the steps in the Existing Employee Enrollment section on the following page once you do. Otherwise select Yes, enter the email address and click save.

New Employee Enrollment (continued) Once the employee is successfully saved, the enrollment email will be automatically sent.  The first email contains steps to enroll and the enrollment link.  The second email contains the temporary WageView Employee Code. To verify the email has been sent, access the individual employee’s Employment screen. A date and time stamp will appear. If user already completed login “Login Created” info would appear.

Existing Employee Enrollment 1. From the Personnel menu click Overview 2. Click desired employee or contractor 3. Access the Employee tab 4. Add an email address NOTE: If both a personal and work email are set up, the enrollment email will be sent to the personal email address. 5. Click Save Changes 7. On the Employment tab the enrollment email button should be enabled, click Send NOTE: If the button is not enabled it may be that: 

The employee is not set up with a status of Active or Leave of Absence (LOA)



The employee already has a WageView account (Login created will display with date and time of creation)



WageView is not turned on (for WageView access contact an BPS Customer Service at 1-888-736-6798)

8. You will receive a pop up confirmation that the email has been generated. 9. The employee will receive 2 emails and will need to follow the steps outlined. NOTE: If for any reason, new enrollment emails need to be sent, you can follow the steps above to re-send. Sending the emails again will inactivate any previously sent enrollment emails to that employee. (providing the employee has not already enrolled) 10. The Login Created field displays a time stamp of when the employee created their WageView account.

Reports: WageView Employee Setup Report This Employee Setup report provides data about your company's WageView users. The following data is included: •

Employee ID



Employee Name



Employee Status



Employee Employment Type



Employee Email Address



Enrollment Email Last Sent



Enrollment Email Status



Employee WageView Login Status



Last WageView login datetime



W-2/1099 Viewed

To access this report: 1. From the Report menu choose Payroll Reports 2. Select WageView Employee Setup from menu options

1. What information can my employees get via WageView1?

Employees can access, print, and save their pay statements, W-2s and 1099s.

2. What does an enabled enrollment email button mean?

It indicates that the employee has not enrolled using the information from the enrollment email.

3. Why is my enrollment email button grayed out?

It may be greyed out due to the employee’s status not being Active or Leave of Absence (LOA). It may indicate that the employee has already set up WageView access. It could be greyed out to indicate that WageView is turned off (for WageView access contact an Account Manager at 1-888-736-6798).

4. My employee received multiple emails. Which email should (s)he use?

Employees or contractors should use the email with the last date and time. If your employee’s email address is shared by other employees in the company, resend the enrollment emails to your employee’s personal email address. If your employees are paid as both an employee and a contractor they will need to enroll using both sets of emails. They will have one login for employee statements and one for contractor statements.

5. What happens if I’m unsure I sent an enrollment email to an employee?

Look at the time stamp located next to the send button. This will give you the last time an enrollment email was sent to an employee.

6. I see a date and time that the enrollment email was sent, but I still have the ability to send an enrollment email. What does this mean?

This indicates that your employee has been sent the enrollment emails but has not signed up for WageView. The enrollment emails can be sent again if needed due to an email address change, or if the previous enrollment emails were sent over 30 days ago and have expired.

7. My employees all share the same work email address. How do I set them up with WageView?

Each employee needs a unique email address to be sent an individual enrollment link and employee code. Add the employee’s email address as the personal email and re-send the enrollment emails.

8. An employee forgot his/her password or answers to security questions. What do I need to do?

The employee can reset his/her password using the forgot password link found on the Sign On page. If the employee does not remember his/her security questions, you can reset his/her password and security questions by selecting the password reset button on the employee’s employment tab in OptRight.

9. Why is the password reset button disabled?

This indicates that your employee has not signed up for WageView.

10.My employee is receiving a “No Active Accounts” page. What does this mean?

Employees will receive this page if their status is no longer active with the company, the WageView service has been disabled, or payroll is no longer done with Wells Fargo Business Payroll Services.

11.Can terminated employees still view their pay statements in WageView?

No. An employee loses WageView access immediately upon termination. Note: Employer must provide a paper W-2 to employees who terminate during the year.

12.My Employees have enrolled with WageView. When will they be able to see their W-2/1099?

The W-2s and 1099s are made available on or before January 31.

13.I have processed a payroll. When will the pay statements be available for my employees to view?

Pay statements are available on check date.

14.I made a mistake on an employee’s next check then fixed it. Will the employee see the mistake?

Checks voided prior to check date will not be displayed in WageView. Checks voided on or after check date will be displayed, but marked as void.

15.My employee has two email addresses. Which email address will WageView correspondence be sent to?

Emails the employer initiate will be sent to the personal email address on file. Emails the employee initiate will be sent to the email address they setup in WageView.

16.What if there is no time stamp next to the Send button? What do I need to do?

This indicates that the employee has not been sent an enrollment email. You can enter the email address and select the Send button to manually send the enrollment email to the employee.

17.Are my employees able to access WageView on their mobile devices?

Yes. WageView is now easy to view and navigate on most mobile devices.
