MEMORANDUM TE50 OF 2016 RELEASE OF 201608 RESULTS 1.

RELEASE OF 201608 ENGINEERING STUDIES EXAMINATION RESULTS The quality assurance bodies responsible for TVET College qualifications approved the release of the August 2016 examination results for Report 190/1 Engineering Studies. These schedules of results were subsequently released to examination centres via email on 07 September 2016 (one day later than scheduled) due to data processing challenges experienced on the Examinations IT System. The codes which appear alongside each subject result are described in this memorandum for ease of reference. The results for the one subject listed below (Table 1.1) were not standardised and published due to low capture rates and will be released later this week once all outstanding marks are received from examination centres. The results for this subject currently reflect as UNDER INVESTIGATION (UI) on the schedule of results released to your examination centre. Table 1.1 SUBJECT CODE 11040001

The Department is busy with an audit of the scripts in all of the seven affected subjects. The results for all seven subjects currently reflect as UNDER INVESTIGATION (UI) on the schedule of results released to your examination centre.

All candidates who registered for and wrote any of the above seven subjects must receive a copy of the attached MEMORANDUM TO STUDENTS and acknowledge receipt thereof. It is the responsibility of Examination Centres to distribute this memorandum and to keep a register of the candidates who received a copy as well as to place the acknowledgements received back from candidates on file. An update will be provided in regard to the subject results for these seven subjects by the end of September 2016. Should an examination centre identify candidates with incomplete marks (i.e. pending (07), outstanding/pending (09), under investigation (UI) and missing moderation record (MR)), these incomplete results will be managed as follows: Outstanding term mark (59) Copies of all mark sheets for outstanding marks and Portfolios of Evidence (PoE) must be submitted to the relevant official managing your examination centre as outline in Annexure A. Outstanding examination mark (09) Copies of all mark sheets and attendance registers must be submitted to the relevant official managing your examination centre as outline in Annexure A. Missing moderation record (MR) In such instances the capture rate for your particular centre is below the required 80% for the affected subject. However, for the cohorts of ten (10) or less enrolments the required capture rate is 100%. Please contact the relevant official managing your examination centre as outlined in Annexure A to fill in gaps in this regard. All mark sheets that did not reach the Department data capturing section in time for standardisation are receiving urgent attention and the examination results will be released as soon as the outstanding marks have been captured. It was noted that some examination centres allowed N1 and N2 candidates to write the examination without complying with the requirements as indicated in Memorandum 46 of 2015. The results of these candidates will be declared null and void and it is the responsibility of the examination centre to inform these candidates. All entry forms for upcoming 201611 examinations are available on the DHET website.

REGISTRATION OF CANDIDATES FOR THE 201611 TRIMESTER EXAMINATIONS

Where a candidate has not received a subject result for the 201608 examinations (i.e. pending / outstanding / under investigation) by the closing date for the 201611 examinations, the candidate must be enrolled to write subject examinations on both the N level written in 201608 and the N level to be written in 201611 – this includes the seven subjects listed in Table 1.2 above. Centres must establish a process via which to manage such enrolments so that candidates are not disadvantaged with respect to progression or centre fees payable for the writing of examinations. No candidate will be allowed to register as a late entry and/or be captured off a manually generated mark sheet for the 201611 trimester examinations as this is where the gaps in the resulting process arise. 3.

HANDLING OF APPLICATIONS FOR RE-MARKS / RE-CHECKS

Examination Centres that receive applications for re-mark or re-check must ensure that candidates pay the administrative fee to DHET account to facilitate the release of the result upon re-mark or re-check. The candidate’s examination number (ID number) must be written as a reference for the payment on the deposit slip. 3.1 Process for Engineering Studies N1 answer scripts Examination Centres are responsible for the re-marking / re-checking of the Engineering Studies N1 answer scripts for the August 2016 examination cycle. All applications for re-marking/re-checking of scripts must be finalized by the examination centre within five days of receiving the application. After the scripts have been re-marked / re-checked the examination centre must forward the application for the re-mark / re-check along with the original script together with the proof of deposit via courier to Ms M Janse van Rensburg, Work Station FF539, Sol Plaatje Building, 222 Struben Street, Pretoria. A register must be compiled on the template provided and sent together with the scripts. (ANNEXURE B – ENGINEERING STUDIES N1 RE-MARK / RE-CHECK REGISTER) A photocopy of the re-marked/re-checked script must be must be kept at the examination centre with the batch of scripts upon removal of the original script. It is the responsibility of the examination centre to make a follow up with the courier company to confirm delivery and ensure that the documentation reaches the Department on or before Monday 19 September 2016. 3.2 Process for Engineering Studies N2-N6 answer scripts The Department will be responsible for the re-mark / re-check of Engineering Studies N2-N6 answer scripts for the August 2016 examinations cycle. All applications for re-marking/re-checking must be finalised by the

examination centre by 15 September 2016 as the closing date for submission to the Department is 16:00 on Monday 19 September 2016. Applications, accompanied by proof of deposit, must be submitted via courier to Ms M Janse Van Rensburg, Work Station FF539, Sol Plaatje Building, 222 Struben Street, Pretoria. This documentation must reach the Department on or before Monday, 19 September 2016. A register must be compiled on the template provided and sent together with the above mentioned documentation. (ANNEXURE C – ENGINEERING STUDIES N2-N6 RE-MARK / RE-CHECK REGISTER). The re-mark / re-check application form is attached as ANNEXURE D. Applicants must attach results reflecting that they did write and get results for the subject(s) to be re-marked/re-checked. Note:  No application for re-mark/re-check will be handled directly from candidates – all applications must come directly from examination centres. Faxed or emailed applications will not be processed.  Re-mark /re-check application forms received without proof of payment will not be processed.  In addition to the application form and proof of deposit, re-mark /re-check applications for Engineering Studies N1 must be accompanied by the original copy of the re-marked/re-checked answer scripts.  Applications received after the closing date will be deemed irregular and will not be processed. Examination centres will be responsible for refunding candidates in cases of applications submitted after closing date.  According to national conduct policy the scripts may be destroyed 3 months after the release of results for Engineering Studies. It is the responsibility of the examination centre to follow-up with courier services to confirm delivery and ensure that the documentation reaches the Department on or before Monday 19 September 2016. The Department will not take responsibility for re-mark/re-check applications that will be lost or received late because they were sent to other examinations officials instead of Ms Janse van Rensburg. MEMORANDUM REGARDING SUBJECTS UNDER INVESTIGATION FOR AUGUST 2016 EXAMINATIONS AND REGISTRATION FOR NOVEMBER 2016 EXAMINATIONS 1. SUBJECTS UNDER INVESTIGATION The results for the seven subjects listed above were not standardised and published due to reports received during the conduct of examinations which indicate that the examination in each subject may have been compromised. The results for all seven subjects currently reflect as UNDER INVESTIGATION (UI) on the schedule of results released to your examination centre. The Department is busy with an audit of the scripts in all of the seven affected subjects. Upon completion of the audit process the findings will be submitted to the Quality Council for a decision on the release of results for these subjects. The Department intends to complete the entire process and release the results of candidates not affected by prior to the start of the examinations timetable for the November 2016 examinations. Please direct all queries in this regard to the Examinations Officer at your examination centre. 2. REGISTRATION FOR THE 201611 TRIMESTER EXAMINATIONS Where a candidate has not received a subject result for the 201608 examinations (i.e. pending / outstanding / under investigation) by the closing date for the 201611 examinations, the candidate must be enrolled to write subject examinations on both the N level written in 201608 and the N level to be written in 201611 – this includes the seven subjects listed above. Your examination centre will establish and inform you of the process to be implemented at your particular centre in this regard. No candidate will be allowed to register as a late entry and/or be captured off a manually generated mark sheet for the November 2016 trimester examinations as this is where the gaps in the resulting process arise.
