Thank you for your interest in the Kimpton Sawyer Hotel & Revival meetings + events services. At the epicenter of Sacramento’s Downtown Commons, The Sawyer Hotel gives your guests an all-access pass to downtown’s new shopping, dining and entertainment complex. Inside, The Sawyer Hotel celebrates elevated and engaging meetings. A Sacramento event venue that helps create meetings of lasting influence. Please take the time to carefully review our policies and procedures. These are in place to ensure your event runs as smooth as possible. AUDIO VISUAL Audio visual equipment is available through our in-house supplier, PSAV, on a rental basis. All audio visual orders are to be placed directly through PSAV and will be billed to your Master Account. Audio visual not provided by PSAV must have Hotel approval and surcharges for electrical requirements, liability, insurance, etc. may apply. A PSAV Liaison fee may also apply. BEVERAGES All alcoholic beverages to be served on the Hotel’s premises (or elsewhere under the Hotel’s alcoholic beverage license) for all functions must be dispensed only by the Hotel’s servers and bartenders. The proper identification (i.e. photo ID) of any person to verify age is required. We reserve the right to refuse alcoholic beverage service if the person is either underage or proper identification cannot be produced. We also reserve the right to refuse alcoholic beverage service to any person who, in the Hotel’s sole judgment, appears intoxicated. DECORATIONS Signs, banners or other decorations are not allowed in public areas. Any signage in private areas must be professionally made and approved by Hotel, please submit to your Catering or Conference Service Manager three (3) days prior to program start date. Nothing may be affixed to the walls, floor or ceiling with push pins, nails, staples, carpet tape or other like materials. There is a surcharge of $50.00 per banner to hang banners in meeting space. Candles with open flame, confetti, bird seed, rice and glitter may not be used at the Hotel. We shall not be responsible for damage or loss of any items brought into the Hotel, or for any items left unattended. DEPOSITS, PAYMENTS, BILLING & SERVICE CHARGES All Banquet prices are subject to a 23% gratuity/administrative fee and 8.50% state sales tax. The Sawyer Hotel does require a valid Credit Card on file for all groups and events. This deposit is non-refundable and is applied to the total charges for your event. All Final Payments are due (5) business days prior to the group event start date. If payment is being handled by a check, then payment must be received (10) business days prior. Final Payment will reflect estimated charges based on final count or food and beverage minimum, whichever is greater. A master account may be established by the group subject to a credit application being filed, processed, and credit approval being granted. Please allow for 45 working days in order to receive a direct bill approval. Final billing invoices will be provided no later than 72 hours for catering only events or within 7 business days for events with catering and guest rooms. Menu prices valid until June 1, 2018.

CHEF ATTENDED STATIONS For Chef attended stations, a minimum of one (1) Chef is required for every 50 guests. A Chef Fee of $150.00 plus tax is applicable for each Chef, per event.

FOOD AND BEVERAGE MINIMUM A Food and Beverage Minimum will apply, based on food and beverage revenue exclusive of service, administrative, and tax fee. In the event the Food and Beverage Minimum is not met, the difference plus service charge & tax will be charged to the final bill.

GUESTROOM DELIVERIES Deliveries can be arranged through our Guest Service Department. Room deliveries incur a fee beginning at $3.00 per guest, per room delivery. The Hotel does not permit items to be given out at the front desk during the check-in process. GUEST ACCOMMODATIONS Should you require 10 or more guestrooms a room block may be setup for guests. Check in time is 3:00pm, and check out time is 12 noon. Please advise your Catering or Conference Services Manager as they will provide you with prevailing group room rates. GUARANTEE AGREEMENT A guarantee of attendance is due by 12:00 PM three (3) business days prior to any function. This policy is applicable to any function regardless of expected attendance. The client is responsible to pay for the guaranteed amount and any overage served. The Sawyer Hotel accounts for 5% more than the guaranteed amount in the event you have additional guests. Vegetarian meals and special meal requests should be brought to the attention of your Catering or Conference Services Manager when you place your guarantee. Last minute requests will be honored based upon availability. PARKING We offer day of event valet parking at $20.00 per car (with no in/out privileges). Self parking is available within the vicinity, please ask your Catering or Conference Services Manager for a local parking garage directory. Guests parking may be added to your master account or on an “individual pay own” basis. Advise your hotel contact how you would like this charge to be billed, otherwise it will be noted as “individual pay own”. MENUS Menu pricing subject to change. All food and beverage charges are subject to 8.50% Sales Tax, taxed 15%gratuity and 8% administrative fee for total service charge fee of 23%. Please advise catering of any food allergies prior to event. If menus are not received by menu due date as listed on the catering sales agreement a late fee of $25 per day will be incurred. If menus are changed within 14 business days of event, a menu change fee in the amount of $500 will be incurred. OUTSIDE FOOD & BEVERAGE No Outside Food or Beverages are Allowed on the Premises. OUTDOOR FUNCTIONS The Hotel reserves the right to make a final decision to move any outdoor function to an inside location due to inclement weather or other circumstances. To ensure a timely setup of all outdoor events, we will advise you of the weather/wind call made no later than 4 hours prior to your event. Music and/or entertainment are not permitted before 5:30pm or after 10:00pm for all outdoor function areas. For the safety of our guests, dance floors are limited to indoor locations. PACKAGE, STORAGE, SHIPPING AND RECIEVING HANDLING Package deliveries will be accepted 5 business days prior to your event. Please ensure proper labeling of all delivery items. Clearly mark the name of the group, group contact person, catering and convention service manager name and date of event. Delivery times should be coordinated with the catering manager and a handling fee will occur. Handling fee is $5.00 per box per day. Prices subject to change based on size and weight. At the conclusion of your event, all packages must be removed within 24 hours, or they will be discarded. Storage is not guaranteed. Additionally please provide tracking #’s and the amount of boxes sent. Hours of operation for shipping and receiving: • Mon: 7am – 3:30pm • Tue – Fri: 7am – 5:30pm • Sat: 7am – 3:30pm • Sun: Closed We do not have a forklift in our Shipping and Receiving Department. If you have heavy boxes that need a forklift please schedule this through your selected carrier. The storage of boxes and delivery to room location incur a fee as stated in the group contract. All return shipping must be arranged by the client through our shipping department. The Hotel is not responsible for any shipment that is delivered to the Hotel and reserves the right to refuse any shipment. Materials which are perishable or flammable, will not be accepted. REQUEST FOR MULTIPLE ENTRÉES Multiple entrée selections are permitted with proper notice. A group may choose up to three (3) entrées with a guarantee of each entrée three (3) business days prior to the event. All meals will be charged based upon the highest priced entrée. You must also provide a method in which our wait staff can determine each guests selection. The client is responsible for providing entrée coded place cards indicating each guest’s selection. ROOM AND SET-UP FEE Function Rooms are assigned according to the anticipated guaranteed number of guests. If there is a fluctuation in the number of attendees, the Hotel reserves the right to assign accordingly the banquet function room. The Hotel reserves the right to charge a service fee for set-up of the meeting rooms with extraordinary requirements. A room set-up fee of $500 will be charged when set-up is changed within 24 hours of event - when applicable. ROOM RENTAL Food & beverage minimums will apply for all banquet space reserved. Rates are determined by the length of the event, the estimated attendance, day of the week and season. Please refer to your contract.

RE-KEYING OF MEETING ROOM LOCKS Should your meeting/event require additional security measures such as re-keying of meeting room locks a fee in the amount of $350 per lock/per occurrence will be applied to the master bill. Includes 1 set of door keys. Additional keys available at $10 each. SECURITY The Hotel will not be responsible for the damage or loss of any equipment or articles left in the hotel prior to, during, or following a private function. Arrangements must be made in advance for security of exhibits, merchandise, valuables, or articles set up for display. The hotel will not be responsible for items left unattended in any function room or perfection/foyer area. Sawyer Security can be hired on at $50 per security officer with a minimum of 4 hours. TASTINGS Food tastings can be conducted at the request of the contact or client. We recommend scheduling tastings at least 3-4 months prior to your event date. Please contact your catering representative for scheduling and guidelines regarding food tastings. All tastings require at least 2 weeks prior notice.
